This policy explains how Starktail collects, uses, shares and protects your personal information, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA).
It covers this website and any enquiry you send us through it.
Who we are
The responsible party for your personal information is STARKTAIL, registration number K2025509684, with its registered address at 246 HAAKDOORNBULT STREET, ERASMUSRAND, PRETORIA, GAUTENG, 0165. This policy refers to that entity as Starktail.
We decide why and how your personal information is processed when you contact us through this website.
Our Information Officer
Our Information Officer is responsible for how we handle personal information and for our compliance with POPIA.

Your right to complain

What personal information we collect
When you send an enquiry through the contact form, we collect the information you give us:
- Your name and email address, which we need in order to reply
- Your company name and website address, if you choose to add them
- The type of help you are looking for and your current ERPNext status
- The content of your message
Our web servers also record standard technical information in log files, such as your IP address, browser type, device type and the pages you open.
How we collect your information
We collect personal information directly from you when you complete and submit the enquiry form, and automatically through standard web-server logging as you browse the site. We do not buy personal information or obtain it from third parties.
Why we process your information and our lawful basis
We process your enquiry information to respond to you, to understand and scope the work you ask about, and to take steps at your request before entering into a possible contract. Our lawful basis for this is section 11(1)(b) of POPIA.
We process technical and log information to operate, secure and improve the website. Our lawful basis for this is our legitimate interest under section 11(1)(f) of POPIA.
We process website-analytics information only if you accept analytics cookies. Our lawful basis for this is your consent under section 11(1)(a) of POPIA, and you can withdraw that consent at any time to stop any further collection.
Is giving us your information voluntary?
Yes. You choose whether to contact us. We do need your name, email address, the type of help you need and your message in order to respond; without them we cannot act on your enquiry. Every other field is optional.
Who we share your information with
We do not sell or rent your personal information. We share it only with the service providers who help us run our business, under written contracts that require them to protect it and process it solely on our instructions, as required by sections 20 and 21 of POPIA.
We may also disclose personal information where the law requires it, or to establish, exercise or defend a legal claim.
Cross-border transfers
Some of our service providers may store or process personal information outside South Africa.
Where a cross-border transfer takes place, we rely on a basis permitted by section 72 of POPIA: the recipient is subject to a law, binding rules or agreement that gives comparable protection, the transfer is necessary to conclude or perform our contract with you, or you have consented to it.
If you accept analytics cookies, Google processes the resulting website-usage information on servers outside South Africa, on the same section 72 basis.
How long we keep your information
Records containing personal information will not be retained for longer than is necessary to fulfil the operational or archiving purposes for which the information was collected, unless the retention of such records is required or authorised by law.
Personal information may be retained for longer periods where necessary for historical, statistical, or research purposes, provided that appropriate safeguards are implemented to prevent the records from being used for any other purpose, and/or the records have been de-identified.
How we protect your information
We take reasonable technical and organisational measures to guard personal information against loss, damage and unauthorised access, as required by section 19 of POPIA. These include:
- A honeypot field, rate limiting and server-side validation on the enquiry form
- Access controls and authentication on the systems that store enquiries
- HTTPS encryption for information sent to and from the site
If a security compromise affects your personal information, we will notify you and the Information Regulator as required by section 22 of POPIA.
Your rights
Under POPIA you have the right to:
- Ask what personal information we hold about you and request access to it
- Ask us to correct or update information that is inaccurate or incomplete
- Ask us to delete information we no longer have a lawful reason to keep
- Object, on reasonable grounds, to how we process your information
- Withdraw any consent you have given, without affecting processing already carried out
To exercise any of these rights, contact our Information Officer at privacy@starktail.com. A formal request for access to information held by a private body is made under the Promotion of Access to Information Act, 2000 (PAIA), on PAIA Form 2. We respond within the periods POPIA and PAIA allow.
Direct marketing
We do not send electronic direct marketing without your prior consent, as required by section 69 of POPIA. If you do consent, every message will identify us and give you a free way to opt out. Our reply to your enquiry is not direct marketing.
Cookies
This site always sets a small number of strictly necessary cookies that keep it secure and working, such as your session and CSRF tokens. These do not require your consent and cannot be turned off.
We use Google Analytics 4 to see how visitors use the site. Its cookies are set only after you accept analytics cookies on the consent banner. If you reject them, or ignore the banner, no analytics cookies are set and no analytics data is collected.
You can change your choice at any time through the Cookie preferences link in the footer of every page. We do not use any advertising or marketing cookies.
Changes to this policy
We may update this policy from time to time. The version on this page is the one that applies, and the date at the top of the page shows when it last changed. We will flag significant changes here.
